Definition
What is custom software with AI for a mid-sized company?
It is software built around the processes of a specific company, instead of adapting the company to a standard program, with AI agents where they save work: reading orders and emails, reconciling data between systems, preparing documents or answering queries with real data. It connects to the ERP you already use instead of replacing it.
Summary
Executive Summary
What we do, how you buy it and what backs it up.
We build custom software and AI agents for companies of 50 to 500 people in distribution, manufacturing, retail with ecommerce and professional services. We work on the ERP you already have (SAP Business One, Sage, A3, Holded or Odoo) and start with the process that takes up the most hours.
You buy it in steps. A 2-3 week assessment tells you which processes are worth automating, what return to expect and which pilot to run first, with a fixed price. The 4-6 week pilot leaves an agent or an application running in production. Once the pilot is measured, you decide whether we continue with the rest in phases.
Our own company is the proof. With a team of 6 specialists we used AI to build Nexo, the platform we run Kiwop on: CRM, projects, time tracking, invoicing synced with Holded, a client portal and 27 AI agents. And our security is certified: Spain's National Security Framework (ENS) at medium category, ISO 27001 and ISO 42001, issued by OCA in 2026.
- 2-3 weeks Assessment with estimated return and a fixed-price pilot
- 4-6 weeks Pilot with a fixed scope, in production
- 0 Non-conformities in the ENS, ISO 27001 and ISO 42001 audit
What's included
What We Build
Four types of work, almost always combined in the same project.
- Internal process automation: what is copied today from an email or a spreadsheet into another system happens on its own, with a record of every step
- ERP integrations: SAP Business One, Sage, A3, Holded or Odoo connected to the online store, the CRM, the warehouse or the carrier, in both directions
- Internal applications: client or supplier portals, dashboards for management and tools for the team that today live in a spreadsheet
- AI agents on your data: they read orders, emails and documents, query your systems and propose or execute actions, with a person approving anything that has consequences
Use cases
Processes That Usually Take the Most Hours
The ones that take up hours every week and have data behind them. The assessment confirms which one pays off first in your company.
-
Distribution
Orders that arrive by email or as PDFs and are typed into the ERP, customer-specific price lists, delivery confirmations and order status queries.
-
Manufacturing
Work reports, quality incidents, production planning and tracking that today are reconciled by hand between the ERP and several spreadsheets.
-
Retail with Ecommerce
Stock, prices and orders between the online store and the ERP, and after-sales support based on the real order data.
Silicium: SAP stock reaches the store every 15 minutes
-
Professional Services
Hours, projects, milestone billing and client reports, with agents that watch for deviations and prepare drafts.
This is how we run Kiwop with Nexo
How we work
How We Work: Four Steps, and You Decide at Each One
Each step ends with something measurable and the decision to continue or not.
- 01
Assessment (2-3 Weeks)
We go through your processes, systems and data with you. The result is a process map, the estimated return of automating each process and a pilot with a fixed scope and price. The assessment is paid, and its cost is deducted if you go ahead with the pilot.
- 02
Pilot (4-6 Weeks)
An agent or an application on a process that hurts, with a fixed scope and in production, not in a demo. It is measured with the same figures as the assessment to check whether it delivers what was expected.
- 03
Phased Rollout
The rest of the map, in order of return. Each phase has its own scope and budget, and starts when the previous one works.
- 04
Operation and Evolution
A monthly fee covers the operation of the agents, the platform, improvements and support. Processes change, and the software changes with them.
Deliverables
What You Get From the Assessment
It helps you decide even if you do not continue with us.
- Map of the processes reviewed, with the hours, systems and data involved
- Estimated return of automating each process, with the calculation method
- Recommended order: what to do first, what to do next and what is not worth it
- Pilot proposal with a fixed scope, timeline and price
- Security, data and EU AI Act risks of each proposal
- Presentation session with management

Who it is for
Is It Right for You?
It fits when there is a specific process that takes up hours, and data in systems that already exist.
Who it's for
- Companies of 50 to 500 people in distribution, manufacturing, retail with ecommerce or professional services.
- You have an SME ERP (SAP Business One, Sage, A3, Holded or Odoo) and part of your operation lives in spreadsheets and email.
- You know which process takes up the most hours each week, even if you do not know how to automate it.
- You want to see a pilot in production before committing to a large project.
- Your clients, the public sector or regulation (NIS2, ENS, the EU AI Act) require a supplier with certified security.
Who it's not for
- You are looking for a standard software licence or a generic chatbot that is set up in an afternoon.
- You want a fixed price for the whole project before we know your processes: that is what the assessment is for.
- Nobody in the company can spend a few hours a week explaining the process and validating the pilot.
- Small companies with simple processes: standard tools or n8n or Make are usually enough.
For the CTO
Summary for Your Technical Team
How we build and which controls are in place.
Integrations talk to the ERP API or to the connector your version supports, with queues, retries and a log of every message, like the Silicium middleware with SAP Business One. Internal applications are built in Laravel, Node.js or Python, depending on what you already have, on PostgreSQL.
Agents only see the data their permissions allow. Reads run directly; actions with consequences start as a proposal and wait for a person to approve them. Every call to the model and to each tool is logged with its cost. Anything that requires an exact result (amounts, permissions, synchronisations) runs on conventional code, not on the model. In production we mainly use Claude, by Anthropic, and choose the model according to the difficulty of each task.
All of this runs inside a management system certified to ENS medium category, ISO 27001 and ISO 42001, with the same controls we apply to our own platform.

Risks and how we cover them
The Risks We Avoid
What usually goes wrong in AI and custom software projects.
- 01
A pilot that stays a demo and never reaches production
MitigationThe pilot is defined with a fixed scope and delivered in production, on a real process, and measured with the figures from the assessment.
- 02
An agent that acts without control
MitigationActions with consequences wait for a person to approve them, and every step is logged.
- 03
Sensitive data within reach of people who should not see it
MitigationEvery query is filtered by permissions, with the controls of our system certified to ISO 27001 and ENS.
- 04
An ERP integration that fails without anyone noticing
MitigationQueues, retries and a log of every message, with an alert to the team when a message does not reach its destination.
- 05
Using AI without complying with the EU AI Act
MitigationOur AI management is certified to ISO 42001, and the assessment reviews the exposure of each proposal, as we explain in EU AI Act compliance.
FAQ
FAQs About Custom Software and AI
What we are asked most often before the assessment.
How much does it cost?
We do not publish prices because every company has different processes and systems. The assessment has a fixed price that we give you in the proposal, and it is deducted if you go ahead with the pilot. The pilot comes out of the assessment with a fixed scope and price, and the rollout is quoted phase by phase.
Do we have to change ERP?
No. We work on the one you have: SAP Business One, Sage, A3, Holded or Odoo. The custom software and the agents connect to it. If what you need is a new ERP, we also do Odoo implementation.
How long until something is up and running?
The assessment takes 2-3 weeks and the pilot 4-6. If you decide to continue when the assessment ends, the first process runs in production about 6 to 9 weeks after the start.
How is this different from AI consulting?
An AI consulting engagement ends with a roadmap. Here the assessment ends with a fixed-price pilot that we build ourselves, that stays running in production and that we keep operating afterwards.
What about security and data?
We are certified to the ENS at medium category, to ISO/IEC 27001 and to ISO/IEC 42001 for AI management, all issued by OCA. Agents only access the data you authorise, and every action is logged. You can verify the certificates on our certifications page.
What does the monthly fee include?
Operation of the agents and the platform, fixes, support and a share of evolution work to adapt the software when your processes change. Its scope is set in the proposal, based on what is in production.
Which AI models do you work with?
Do you work with companies outside Spain?
Yes. We work in English, Spanish, Catalan, French, German, Dutch and Portuguese.
