Odoo Implementation for SMEs: Processes, Custom Modules and Integrations

We map how your business works, choose the Odoo apps you need, migrate your data from Excel, Sage or your old ERP and connect Odoo to your store, payment gateway and carrier. Whatever Odoo doesn't do out of the box, we build as a custom Python module, without touching Odoo's own code. Fixed quote after a review of your processes.

What is an Odoo implementation?

An Odoo implementation means putting this ERP to work in a company: analysing its processes, choosing and configuring the apps it needs (sales, purchasing, inventory, invoicing, accounting, CRM, projects or ecommerce), migrating data from the previous system, building whatever is missing, connecting it to the other tools and training the team so they can work with it from day one.

Odoo is a modular ERP: each business area is an app you install separately, and all apps share the same database. It comes in two editions, Community (open source) and Enterprise (paid, with apps and features Community lacks), and there are three ways to host it: Odoo Online, Odoo.sh or your own server. Choosing the edition and hosting well at the start decides what can be customised later.

Summary

Executive Summary

What an Odoo implementation fixes and where it usually goes wrong.

An SME considering Odoo typically has sales in a spreadsheet, invoicing in a separate accounting package, stock in another spreadsheet and online store orders keyed in by hand. Each tool works on its own, but nobody sees the whole business and every piece of data is typed two or three times. Odoo brings those areas together in a single system with a single database.

Implementations don't go wrong when Odoo is installed, which is the quick part. They go wrong on three decisions: which processes adapt to Odoo and which get built, which data is migrated and how it is validated, and how Odoo connects to the store and the other systems. That's why we start with a process review that ends in an app map, a list of custom developments, a migration plan and a fixed quote.

We work as a development team: we write the modules Odoo doesn't include in Python, like the rest of our Python development, and connect Odoo to stores, payment gateways and carriers with the same method we use for ecommerce ERP integration. And we know what building management software takes: Nexo, our own platform, combines CRM, projects and invoicing synced with Holded.

  • 8 apps Sales, purchasing, inventory, invoicing, accounting, CRM, projects and ecommerce
  • 3 options For hosting: Odoo Online, Odoo.sh or your own server
  • Fixed The quote, after the process review

What's included

What Our Odoo Implementation Includes

From processes to go-live. On every project we fit the scope to what your business actually needs.

  • Process analysis: how you sell, buy, store, invoice and collect today, and what needs to change
  • Edition and hosting: Community or Enterprise, Odoo Online, Odoo.sh or your own server, with the limits of each option
  • App configuration: sales, purchasing, inventory, invoicing, accounting, CRM, projects or ecommerce
  • Data migration from Excel, Sage or another ERP: customers, suppliers, products, price lists, stock and balances
  • Custom Python modules for what Odoo doesn't include, without changing its core code
  • Integrations with Shopify, PrestaShop or Magento, payment gateways and carriers
  • Invoicing in Spain: what your version and edition cover against Verifactu and e-invoicing
  • Role-based training: each person learns what they will use, with your data rather than a demo
  • Support and improvements after go-live, as part of our maintenance

Key points

The Odoo Apps We Implement

Odoo is installed app by app. We start with the ones that save you the most hours and add the rest once the first ones work.

  1. 01

    Sales and CRM

Opportunities, quotations, sales orders and customer price lists in a single flow: sales reps see in the CRM what has been quoted and invoiced for each account. We set up stages, quotation templates and pricing rules to match how you sell.

  2. 02

    Purchasing

Requests for quotation, purchase orders and goods receipts, with replenishment rules so minimum stock triggers a purchase without anyone watching a spreadsheet.

  3. 03

    Inventory

Warehouses, locations, lots or serial numbers, and stock moves generated automatically with every sale and purchase. It's the foundation for an online store that only sells what you have.

  4. 04

    Invoicing and Accounting

Customer and supplier invoices, payments in and out, linked to the order that created them. How much accounting each edition covers, and what your version's fiscal localisation includes, is something we review up front; if you invoice in Spain, together with Verifactu and e-invoicing.

  5. 05

    Projects

Projects and tasks with their hours, and billing customers by time or by milestone. We know this first-hand: our own platform, Nexo, combines projects, time tracking and invoicing.

  6. 06

    Ecommerce

Odoo has its own ecommerce, connected out of the box to inventory and invoicing. If you already sell on Shopify, PrestaShop or Magento and don't want to move your store, we connect it to Odoo via API. If you sell to businesses, see also B2B ecommerce.

Why

Community or Enterprise, and Where to Host It

Two decisions best made before configuring anything.

Community is the open-source edition: no licence cost, with the core apps for sales, purchasing, inventory, CRM, projects, invoicing and website. Enterprise is paid and adds apps and features Community lacks, such as Odoo Studio for customising without code. For hosting there are three routes: Odoo Online, Odoo's cloud, doesn't allow custom-coded modules; Odoo.sh, Odoo's platform for Enterprise, does, with test environments per branch; and your own server, on your infrastructure or a cloud of your choice, runs either edition and gives you full control, in exchange for maintaining it. We explain what each combination means for you and you decide. Licence prices are published by Odoo and are not part of our quote.

Key points

Odoo Connected to the Rest of Your Business

An isolated ERP means typing everything twice. These are the connections most businesses need.

  1. 01

    Shopify, PrestaShop and Magento

Store orders that flow into Odoo on their own, and stock, prices and price lists that flow from Odoo to the store, with every message logged and retried. It's the method we run in production with Shopify and SAP Business One at Silicium, explained on our ecommerce ERP integration page.

  2. 02

    Payment Gateways

Payments through Redsys, Bizum, Stripe or PayPal recorded against their order and invoice in Odoo, whether you sell through Odoo's ecommerce or your own store. Details for each gateway on our payment gateway integration page.

  3. 03

    Carriers

Shipments created from the Odoo order, with label and tracking number, through the carrier's connector or a shipping platform such as SendCloud. At Silicium, the SendCloud shipment is created when the warehouse marks the order as ready in the ERP.

  4. 04

    Verifactu and E-invoicing in Spain

If you invoice in Spain, your invoicing system has to comply with Verifactu and, when your turn comes, send and receive B2B e-invoices. We check what your Odoo version and edition cover during the review, and if a custom module touches invoicing, we design it with both rules in mind.

  5. 05

    Automations and Other Tools

To connect Odoo with tools that have no direct integration (forms, spreadsheets, email) we use n8n or Make when that's enough, and code when it isn't. And if you want to put AI to work on your Odoo data, the starting point is AI consulting.

How we work

How We Implement Odoo

In phases, with your real data, and without switching off the old system until Odoo works.

  1. 01

    Process Review

We walk through how you sell, buy, manage stock, invoice and collect, and what data you have and where. The output is an app map, the recommended edition and hosting, the list of custom developments, the migration plan and a fixed quote.

  2. 02

    Standard Configuration First

We configure the apps with what Odoo offers out of the box and test them with your team. We only code what configuration can't solve: every custom module is code that will need maintaining.

  3. 03

    Development and Integrations

Custom Python modules and connections to the store, payment gateway and carrier, each tested on its own in a test environment.

  4. 04

    Migration Rehearsed With Real Data

We load the old system's data into a copy, reconcile it with your team (customers, products, stock, open balances) and repeat the load until it comes out clean.

  5. 05

    Training and Go-Live

Role-based training with your data, the final load on the agreed date and hands-on support through go-live. The old system stays available for reference until everything reconciles.

  6. 06

    Support and Improvements

Fixes, questions and improvements as part of our maintenance, and custom modules migrated when you move to a new Odoo version.

Who it is for

Is It Right for You?

It fits when your business has outgrown its spreadsheets and needs one system for sales, stock, purchasing and invoicing.

Who it's for

  • SMEs that run sales, stock and purchasing in spreadsheets and invoice in a separate program.
  • Companies moving off Sage or another ERP they have outgrown.
  • Businesses with a Shopify, PrestaShop or Magento store that want orders and stock to flow on their own with the ERP.
  • Companies with their own processes that a standard ERP doesn't cover and that need custom modules.
  • Companies with a half-implemented Odoo or custom developments nobody maintains.

Who it's not for

  • Anyone who needs their implementer to be an official Odoo partner: we are not one.
  • Companies whose SAP Business One or other ERP works for them: there's no need to switch, it can be connected, as explained in SAP Business One integration.
  • Freelancers and micro-businesses that only need to issue invoices: an invoicing program is enough.

Deliverables

What's In and What's Not

So the scope is clear before we start.

Included

  • Process review with app map and recommended edition and hosting
  • Configuration of the agreed apps and testing with your team
  • Custom Python modules, with code and documentation owned by you
  • Data migration from the old system, rehearsed and validated
  • Agreed integrations with store, payment gateway and carrier
  • Role-based training and hands-on support at go-live

Not included

  • Odoo Enterprise subscription and Odoo Online or Odoo.sh hosting
  • Tax and accounting advice: your adviser validates the chart of accounts

The proof

What Backs This Service

We don't have a published Odoo implementation case study yet. What is in production is what an implementation needs. At Silicium we connected its Shopify store to SAP Business One, SendCloud and HubSpot: web orders reach the ERP on their own, stock flows to the store every 15 minutes and shipping labels come out of the ERP itself. SAP was implemented by the client's SAP partner; integrating an ERP with the rest of the business is the same discipline. Nexo, our own platform, combines CRM, projects, time tracking and invoicing synced with Holded: it's management software we build and use every day. At Asufin we automated its claims lifecycle in Laravel, from case intake to legal documents and notifications. And Odoo is written in Python, one of the languages we build in, as covered in Python development.

  • 4 Systems connected at Silicium: Shopify, SAP Business One, SendCloud and HubSpot
  • 10+ Live integrations in Nexo, our management platform
  • -60% Case handling time at Asufin
  • 5.0 Rating on Clutch

For the CTO

CTO Summary

How we build on Odoo.

Whatever Odoo doesn't include, we build as a custom module: Python models on Odoo's ORM, XML views, QWeb templates and, when an interface is needed, OWL components. We extend Odoo's models and views through inheritance instead of modifying its code, so updates don't overwrite anything. Every module lives in git, with tests, and goes through a test environment before production: an Odoo.sh branch or a copy on your server.

Integrations talk to Odoo's external API or to modules that receive webhooks, with queues, retries and a log of every message, like our ERP integrations in production. Migration is done with repeatable scripts, not manual imports, so it can be rehearsed as many times as needed. Odoo releases a major version every year, so each module is documented with its migration in mind. Credentials are stored encrypted with minimum permissions, under the controls we are certified for in ISO 27001 and Spain's National Security Framework (ENS).

Risks and how we cover them

The Risks We Prevent

What we see in ERP implementations that went off track.

  1. 01

Customising so much that Odoo can no longer be upgraded

    Mitigation

Standard configuration first, custom modules via inheritance and no changes to Odoo's core code.

  2. 02

Choosing Odoo Online and finding out later you need a custom module

    Mitigation

Edition and hosting are decided in the process review, with the list of developments on the table: Odoo Online doesn't allow custom-coded modules.

  3. 03

Going live with badly migrated data

    Mitigation

Migration rehearsed on a copy, reconciled with your team and repeated until it comes out clean, with the old system still available.

  4. 04

A team that doesn't use the ERP and goes back to spreadsheets

    Mitigation

Role-based training with your own data and hands-on support at go-live, starting with the apps that take the most work off their plate.

  5. 05

Invoicing in Spain with a system that isn't up to date

    Mitigation

Before go-live we review what your Odoo version and edition cover against Verifactu and e-invoicing.

FAQ

Odoo Implementation FAQs

What we're asked most before starting with Odoo.

Are you an official Odoo partner?

No. Kiwop is not an official Odoo partner. We implement, develop and integrate Odoo as a development team, with a fixed quote and the code owned by you. If your project requires working with an official partner, tell us in the first conversation.

Odoo Community or Odoo Enterprise?

Community is open source and has no licence cost. Enterprise is paid and adds apps and features Community lacks, such as Odoo Studio. The choice depends on which apps you need, how much has to be built and where you will host it, and we make it with you in the process review. Licence prices are published by Odoo.

Odoo Online, Odoo.sh or your own server?

Odoo Online is Odoo's cloud and doesn't allow custom-coded modules. Odoo.sh is Odoo's platform for Enterprise and does allow them, with test environments. Your own server runs Community or Enterprise and gives you full control, in exchange for maintaining it. If your implementation needs custom development, Odoo Online is ruled out.

How much does an Odoo implementation cost?

It depends on how many apps are implemented, the volume and state of the data to migrate, the custom modules and the integrations. That's why we start with a process review and give you a fixed quote, not open-ended hours. The Enterprise subscription, if you choose it, and hosting are separate.

How long does an Odoo implementation take?

It depends on how many apps go live at once, the state of the data and how many developments and integrations are needed. The process review ends with a phased plan and its dates. Going live in phases, starting with what saves you the most hours, is usually safer than switching everything on the same day.

Can you migrate data from Excel, Sage or another ERP?

Yes. We usually migrate customers, suppliers, products, price lists, opening stock and open receivables and payables; the full invoice history only if you need it inside Odoo. We rehearse the load on a copy, reconcile it with your team and don't switch off the old system until everything matches. In Spain we also migrate from A3.

Does Odoo integrate with Shopify, PrestaShop or Magento?

Yes. Either you sell through Odoo's ecommerce, which shares data with inventory and invoicing, or you keep your store and we connect it to Odoo via API: orders, customers, stock and prices both ways, with every message logged and retried. It's the method behind our ecommerce ERP integration, in production with Shopify and SAP Business One.

Does Odoo comply with Verifactu and Spanish e-invoicing?

It depends on the version, the edition and what you have installed, so we check it for your case before go-live. What the rules say: Verifactu's legal deadlines are currently 1 January 2027 for companies subject to corporate income tax and 1 July 2027 for everyone else, and the Spanish Treasury has announced it intends to postpone it to October 2028, not yet in the Official State Gazette (BOE). B2B e-invoicing arrives around October 2027 if you invoice more than €8 million a year and around October 2028 if you invoice less. Full details on our Verifactu page.

Can Odoo be customised without losing upgrades?

Yes, if it's done properly. Whatever Odoo doesn't include is built as a custom module that extends Odoo through inheritance, without modifying its code. Odoo releases a major version every year: custom modules have to be migrated when you upgrade, which is why it pays to code only what configuration can't solve.

Does it include training and support?

Yes. Training is role-based and uses your data: sales, warehouse, purchasing and admin each learn what they will use. After go-live, support, fixes and improvements are covered by our maintenance.

Do you work with companies outside Spain?

Yes. We work in English, Spanish, Catalan, French, German, Dutch and Portuguese. Odoo has fiscal localisations per country; we check what yours covers in your version and edition during the process review.
